Admin Tools Defined

For instructors and speakers using the classrooms in the Unity conferencing system, administrative tools are available to facilitate several methods of interaction and features for any given session. Look for ADMIN TOOLS, found on the right end of the navigation bar of your Unity window. Clicking on ADMIN TOOLS will show a drop down menu of items you can use. A brief description of these tools is below.

MODERATE ROOM...
When the moderation feature is turned on, only moderators, instructors and staff can enter text (talk) into the room.

  • When moderation is on, a large "M" will appear to the left of the white text-input box at the bottom of the Conference Room window. Text entered and sent to the Conference Room window by participants will be redirected into the Question Screener (see more below).
  • If Class mode is used, the text-input field will turn yellow and the "M" will change to "!/?" icon. This is a sign to participant's that the text they send will display in the Conference Room immediately. In this mode, we will typically use chat protocol where "!" indicates a comment and "?" indicates a question. The participant sends a "?" or "!" to the Conference Room window and waits until the speaker calls on him/her by name before sending his/her question or comment.
  • The third type is an Non-moderated room where there is no icon to the left of the yellow text-input field in the Conference Room window. Chat protocol is not used. This allows for free flowing interaction between the speakers and participants with no direct control of the participants.

WARP TYPE
For a text presentation, this window is used to send your lecture (warp) text into the Conference Room window. To learn more about Warp Type, see: Warp Type for Instructors

POLLING
Polling is a feature that has proven to be very popular with students and instructors. When you write your warp script for the class, keep in mind where you want to stop and ask the class a question and write a poll for that question.

  • The question can be a multiple answer (one correct answer only) or true/false.
  • Polls can be used to see if your students are grasping what you are saying or to judge how much the class knows prior to starting on the topic. These polls keep the students interested by participating and each poll counts as a participation point toward their course completion points.
  • Generally, the polls are sent into the room at the appropriate time by one of the course moderators. Once it appears all the participants have answered, the moderator broadcasts the poll results into the Conference Room and you can continue on with your presentation.

Polls are handled by the VIN/VSPN staff. 

ALL STAFF
All Staff opens up a private message window where the instructors, moderators and course assistants can communicate with each other without class participants seeing it; like a conference call without sound.

PRESENTATION MANAGER
Presentation Manager is used for:

  • managing the slideshow URLs (save, edit, delete)
  • sending the slideshow in a Presenter window to all the participants in the Unity classroom
  • ending the slideshow by closing the Presenter window for every participant in the Unity classroom

Typically, your moderator will have the slideshow URL saved in their Unity folder and will send the slideshow to the class for you at the beginning of the session.

QUESTION SCREENER
Question Screener is the window that will fill with questions when the room is moderated. The instructor can view each question/response/comment, and decide whether or not to respond to it.

For audio presentations, the instructor breaks for questions, selects a question and sends it into the Conference Room. Then the instructor speaks their response to the question.

For text presentations, while the lecture text is automatically being sent into the Conference Room, the instructor selects a question and types a response to the question in Question Screener. The instructor then saves the answer with the question.  At the next break for questions, the instructor sends in the pre-answered questions to the Conference Room one at a time from Question Screener.

CLEAR HISTORY...
The moderator will use Clear History to erase all the text displaying in the Conference Room window prior to class start. Instructors can use Clear History to erase any text that they have sent into the Conference Room outside of class time so the participants can't come in and see it. Information is still saved on the server and is not lost, it's just not viewable any more.

SAVE HISTORY
This feature is more for the VIN/VSPN staff members to utilize in case there are issues with the session transcript. When you click on Save History, Unity copies the contents of the Conference Room window in HTML format onto your computer's clipboard. The contents of the clipboard can then be pasted into a text or html editor and then saved into a file.

WEB TOUR
Web Tour is used when you have a web page that you want the participants to visit during a Real Time Session. It will send a popup window to each participant asking if they want to see the specified web page.  When the participant selects the OK button, a new browser window is opened that displays the specified web page. 

For example, if there was a YouTube video you wanted to include in your lecture.  You cannot add it to the Real Time Session slideshow because you don't have copyright permission to use the video. So instead, you can use Web Tour to invite the participants to view the video on a separate browser page (outside the Unity classroom) during the Real Time Session.

CHANGE FOOTER
Your moderator will use this tool to put the title of the course or presentation in the footer of the Unity window. In this way, participants entering the Unity classroom can easily determine if they are in the correct classroom.

AUDIO CONFERENCE
Moderators, instructors, and staff level users within the Unity classroom can use Audio Conference to speak with one another, as a group, without the participants being able to hear them. Audio Conference is also used to allow a single person on the Audio Conference to broadcast to everyone in the Unity classroom.
